Invoicing is one of those things where I am half organised, half all over the place. I keep a spreadsheet of what’s been invoiced and what needs to be, in Google Docs and then I have a MS Word doc template which, once I have amended and resaved, it’s PDF’d and sent to the client. It’s not the most technically savvy way of doing things although admittedly, I do wonder why I faff around about invoicing as it takes a frighteningly short amount of time to sort out when I do it.
Fortunately I am not alone and I read a post by Katie Lee on the Telegraph about using web-based Freshbooks to manage her invoices.
It sends out invoices, automatically creates recurring ones and you get reminders to chase up any outstanding invoices. I like the sound of automation and reminding because in my already overloaded brain, it becomes one less thing to think about.
Of course it goes beyond this functionality and you can let your clients have access so that they can see estimates for their work, track time spent on projects, and of course, pay invoices. If you employ contractors or staff you can create accounts for them so they can bill you directly plus there is a reporting function, expense tracking and much more. Oh and you can brand your emails and interface to make it extra professional.
There are several membership options with a free mode available for you to create up to 3 clients and then it varies from $14 for 25 clients up to $149 for 5000 clients. I think beyond a certain point it’s a bit steep when you consider the costs over the year but at the lower pricing end it’s certainly a good option to try.

Not only does FreshBooks offer great invoicing, but they have a bunch of add-ons and extras to help their clients make the most of their time and data.
There are four other bookkeeping systems besides IAC-EZ, and more third party software listed on their add-ons page.
They definitely have a lot to offer.
